The Role:
In this pivotal role, you will play a vital part in ensuring the smooth operation of our office. Your responsibilities will include, but are not limited to:
- Providing Efficient Administrative Support:
- Managing and prioritizing calendars and scheduling appointments for the team.
- Arranging travel itineraries and handling travel logistics.
- Coordinating meetings and preparing agendas and materials.
- Processing and managing incoming and outgoing mail, faxes, and emails.
- Maintaining Accurate Records:
- Organizing and maintaining filing systems, both physical and digital.
- Assisting with data entry and maintaining accurate records.
- Preparing reports and presentations as required.
- Communicating Effectively:
- Answering calls and emails professionally and courteously.
- Acting as a point of contact for internal and external inquiries.
- Composing professional correspondence, including letters, memos, and emails.
- Additional Responsibilities:
- Providing general office support tasks, such as ordering supplies and managing petty cash.
- Contributing to a positive and efficient work environment.
- Staying up-to-date on new administrative procedures and technologies.
Qualifications & Skills:
- Bachelor’s Degree in Business Administration or a related field (preferred).
- Minimum of 2-3 years of experience as an Administrative Assistant or similar role.
- Strong computer skills, proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills, with the ability to build positive relationships.
- Fluency in both written and spoken English.
- Proficient typing skills with a high level of accuracy.
- Ability to work independently and as part of a team.
- Positive attitude, a willingness to learn, and a strong work ethic.
